You can add, edit, or remove users from the experience, as well as send experience invitation emails.
The Users tab lists the participating users, both instructors and participants.
Here you can perform the following actions:
- Search: Search for specific users by name or email address.
- Filter: You can filter users by details such as project, email, role, invitation status, participation status, or join date.
- Export: Export visible user lists as a CSV file.

User Properties: Add new properties for users by entering the desired property and clicking Save. A user property is a custom ‘key-value’ attribute for your users (in addition to the default, ‘first name’, ‘last name’ and ‘email’ properties). You define the ‘key’ using this list and can add a ‘value’ for each user. For example, if your software product requires a unique license key for each user, you can define a user property called ‘License’.
These user properties apply to both participants and instructor users (students/prospects and instructors).
The ‘More’ menu (...icon) on the right of each row is a quick menu that allows you to:
- Edit users
- Resend invitations
- Remove users (per permissions).
Adding Users to an Experience
Click the +Add Users → Add Participants button.
You can enter a user's three default properties (first name, last name, and email). Optionally, if you have created additional user properties, you can enter these values.
You can also add more than one user by clicking Add Another. Alternatively, you can import multiple users from a CSV file. Make sure your CSV has the following column headers:

- FirstName
- LastName
In case of any doubts, you can download the linked template to ensure that you're uploading a CSV file using the correct format.
Once you’ve entered the user’s information, click Save.
Add Instructors
Before getting started, first ensure that users have been added as project members to the relevant project.
- Click the + Add Users → Add Instructor/SalesPro button.
- Select the instructor or sales pro from the list of project members; their first name and last name will be automatically populated.
- Optionally, select the Disable environment creation box. This will prevent this user from creating a personal environment within the experience.
- You can also add more than one user by clicking Add Another.
Once you’ve selected the user(s), click Save.
Remove Users from an Experience
There are three options to remove users from an experience:
- Select one or more users and click the Remove button, which will appear above the list once any are selected.
- Alternatively, click the three buttons on the right of the user’s row and select Remove Student/Participant or Remove Instructor/Sales Pro.
- You can optionally select all manager users (instructors/sales pros), all participant users (students/participants), and all users from the selection box above the user list. The selection checkbox will change to indicate if an entire group of users or if a subset of that group has been selected.
Note: The main manager user (instructor or sales pro) and users (regardless of type) who have already participated in an experience cannot be removed.
Send Experience Invitations to Users
- Select one or more users and click the Send Invitation button, which will appear above the list once any are selected.
- Alternatively, click the three buttons on the right of the user’s row and select Send Invitation.
- You can optionally select all users (instructors/sales pros), all participant users (students/participants), and all users from the selection box above the user list. The selection checkbox will change to indicate if an entire group of users or if a subset of that group has been selected.
The invitation for the manager or participant user can be individually customized (see the Experience Details section).
Experience Insights
The experience insights give you a graphical overview of users associated with the experience. It gives you an immediate understanding of:
- How many of the added users are registered participants (i.e. students/prospects as opposed to instructors/sales pros).
- How many of the added users have been sent an experience invite.
- How many of the users have joined the experience and participated in it.
