Creating an Experience with a Preconfigured Participant Environment

Note: To use CloudShare's Creating an Experience with a Preconfigured Participant Environment feature, contact your Account Manager.

This article describes how to create an experience that runs in a Preconfigured Participant Environment.

1. In the CloudShare home page, click Training or Sales in the left side menu, and then click the + Create New button at the top right of the page. Alternatively, hover over Training or Sales in the left-hand menu, then click the + icon.

Note: This article uses Training experiences as examples. The same guidance applies to Sales experiences.

2. Use the New Training Experience wizard (shown above) to create a Training experience as usual, while applying the differences described below to create a Preconfigured Participant Environment.
3. General: In the General page of the wizard, toggle on the Preconfigured Participant Environments option to activate this feature.

Note: Enable this option before creating the experience. After the experience is created, the setting cannot be enabled or changed, even if the experience has not yet started.

4. Select the Show advanced fields option to display additional fields, as shown below:

Note: The Preconfigured Participant Environments option cannot be toggled on at the same time as the Multi-Step Experience option.

Note: When the Preconfigured Participant Environments option is enabled, the Allow more than one environment activation per student option is automatically disabled (appears when Show advanced fields is selected).

4. Time: Click Next to display the Time page of the wizard, as shown below:

5. In the Start Date field (which specifies when the experience starts), the instructor can schedule a Preconfigured Participant Environment up to two weeks in advance. Dates outside that range are not available for selection. For example, on the 10th of May, an instructor can only select a Start Date up to the 24th of May. The other dates are grayed out. 

Note: There are no limitations on the end date.

6. Access: Click Next to display the Access page of the wizard, as shown below:

Note: The Access Time field is automatically set to Allow access before the training starts only to instructors. The other options are disabled. 

Note: For Self-paced experiences (meaning that the Type field is set to Self-paced in the General wizard page), the Unlimited option is not available in the Maximum Number of Students field. 

7. Click the Create button.
