The following describes the information and options that appear in an experience’s User List regarding the Preconfigured Participant Environment option.
A row is displayed for each user, and has the following columns:
User
The username defined for this user, which is one of the following:
The username entered when an instructor added this user to this experience.
The username Unassigned #1, Unassigned #2 and so on, which are automatically generated when an Undefined User is added by an instructor in CloudShare.
The username entered by an Undefined User when they logged in to the experience and were automatically assigned an Undefined User definition (which includes an environment).
The email address used by this user to log into CloudShare. For Unassigned users, this field is empty.
Role
The user’s role in this specific experience:
MAIN INSTRUCTOR: A main instructor is defined when an experience is created.
INSTRUCTOR: An instructor can reconfigure participant environments before the participant joins the experience.
PARTICIPANT: A participant can join an experience and work in their own designated environment according to the setup defined by the instructors.
UNASSIGNED: This option only appears if the Preconfigured Participant Environments option is turned on. A placeholder environment is created without any participant’s details. This unassigned environment can be preconfigured to be ready for participants to log in. When an undefined participant logs in, the preconfigured unassigned environment is automatically allocated to that participant , the Role of this user changes to PARTICIPANT, and the name and email of that participant are filled in.
Invitation
Shows whether an invitation has been sent to this user using the Send invitation action. Typical values: Sent and Not sent. For unassigned environments, this column remains empty until the environment is allocated to a real participant.
Participation
Indicates the user’s current participation state in this experience. Typical values are:
Pending for invited users who have not logged in yet.
In Progress for users who have joined an active session.
Concluded for users whose session participation has ended.
First Joined
The first date on which the user logged in to this experience.
Environment Status
This column only appears if the Preconfigured Participant Environments option is turned on. It shows the lifecycle state of the user’s environment.
+ Create Button: This button only appears for Predefined Users and indicates that an environment has not been created yet. It enables an instructor to create/configure a Preconfigured Participant Environment directly from the User List Grid. Creating an environment is a mandatory step to enable the instructor to preconfigure a participant’s environment, as described in Preconfiguring a Predefined Participant's Environment.
Preparing: CloudShare is in the process of creating the environment. Access is unavailable until preparation completes and its status is Ready, as described below.
Ready: The environment is created and available to open, view, and configure.
Resuming: The environment is being brought back online from a suspended state.
Suspended: The environment is paused to save resources. It can be resumed or automatically resumes when accessed by a user.
Archived: Archiving ends user access to the environment but maintains its storage lease, as defined by the current environment policy. During storage time, the environment will be archived. It can be made accessible by extending it from its Environment Details page. After the environment storage time expires, the environment is securely deleted.
Deleted: The environment has been permanently removed. Instructors cannot restore it, and participants cannot access it. Its history and configuration are no longer available.
Publishing, and more background states: Represent temporary background system actions that are performed automatically.
Actions
This column appears when the Preconfigured Participant Environments option is enabled. It provides quick controls for the selected user’s environment. These action buttons can be used after the environment is ready (Environment Status shows READY).
Mark / Unmark Configuration Complete: [Optional] This option can be marked to indicate that the instructor has finished configuring a participant’s environment. After this indicator is marked, CloudShare automatically suspends the environment to prevent unnecessary resource usage.
This indication is for tracking purposes only and does not affect how the environment is assigned. This means that whether or not this indicator is marked, CloudShare automatically assigns the environment to the participant when they log in to the session.
If this indicator is not marked, then the environment is not automatically suspended, and the environment continues to run until it reaches its policy limits or is suspended manually.

Suspend / Resume: Pauses a participant’s environment while preserving their progress, or resumes a suspended environment’s availability.
View / Configure the Environment: This opens the environment in the Participants Viewer as an instructor, allowing the instructor to view and preconfigure the participant’s environment.
Three Dot Menu Icon
The three-dot menu icon opens a menu of additional actions, as follows:
A variety of options may appear in this dropdown menu, such as the following:
Suspend/Resume Environment: Pauses a running environment to save resources or resumes a suspended one.
Extend Environment: Opens the Extend dialog, enabling the addition of more time to the selected environment’s policy (runtime/storage lease).
Open Environment: Opens the Environment Details page, enabling the reconfiguration of the environment, including VM composition and resources, policy settings, and more.
Delete: Deletes an unassigned user and its environment. Any preconfiguration performed on that placeholder environment is deleted with it.
